1. Who we are

Greenshoots is the trading name of [CH Business Solutions] Ltd, a company registered in England and Wales (company number [05674805]), registered office [SHMS House, 20 Little Park Farm Road, Fareham, PO15 5TD]. We are the data controller for the personal information described in this policy.

2. What we collect and why

When you contact us through our website form: your name, work email, company, role (optional) and anything you tell us about your challenge. We use this to reply to you and, if you wish, to discuss working together.

When you book a discovery call: your name, email and the time you choose. We use this to arrange and hold the call.

Business contacts: we may hold the business contact details of finance leaders who could benefit from our services. We get these from public sources such as LinkedIn, Companies House and business news. We use them to get in touch about our services in a relevant, proportionate way. You can ask us to stop at any time.

Clients: the business contact details of the people we work with, to deliver our services and manage the relationship.

Website use: our website uses cookies to make it work and, if you agree, to measure how it's used. See section 7.

3. Our legal basis

We rely on our legitimate interests to reply to enquiries, contact relevant business contacts and run our business, and on contract when we are delivering work for you or preparing to. Where we use non-essential cookies, we rely on your consent.

4. Who we share it with

We don't sell your data. We use trusted providers to run our business, who only process it on our instructions:

- Squarespace (website, forms and analytics)

- [Squarespace Scheduling / Calendly] (booking calls)

- [Microsoft 365 / Google Workspace] (email)

- LinkedIn (where we connect or message you there)

Some of these providers store data outside the UK, including in the USA. Where they do, they use approved safeguards such as the UK International Data Transfer Addendum or the UK–US data bridge.

5. How long we keep it

Enquiries that don't lead to work: up to 2 years from our last contact.

Business contacts we haven't worked with: we review them at least every 2 years and delete those no longer relevant.

Client records: for the length of our relationship and up to 6 years afterwards, for legal and accounting reasons.

6. Your rights

You can ask us to:

- give you a copy of the data we hold about you

- correct it

- delete it

- restrict or object to how we use it, including stopping all marketing contact

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113). We'd appreciate the chance to put it right first.

7. Cookies

Essential cookies keep the website working and secure. Analytics cookies help us understand how visitors use the site; we only set these if you accept them in the cookie banner. You can change your choice at any time by clearing your cookies or using the link in the footer.

We may update this policy from time to time. The date at the top shows when it last changed.
